2.4 Non Registered Users for an intermediary organisation
If you are not the Registered User for an Intermediary organisation or you are not authorised to use the Website on behalf of an intermediary organisation you should refrain from accessing the password protected intermediary section of the Website.
Registration, user name and password
3.1 Access to certain parts of the website
Access to certain parts of the Website may require you to register and provide certain information about yourself and where you do this you agree to:
- Provide true, accurate, current and complete information about yourself as prompted (such information being the “Registration Data”); and
- Maintain and promptly update the Registration Data to keep it true, accurate, current and complete.
3.2 Registration Data

The registration process on the Website will involve you being given with a unique user name and password that gives you access to your account. You are responsible for maintaining the confidentiality of your user name and password, and are fully responsible for all activities that occur under your password or account.

3.6 Username and Password for intermediaries
Intermediary Organisation’s and Registered User’s responsibilities
The Intermediary Organisation and the Registered User will be fully responsible for all activities that occur under the Registered User’s Username and Password and the Intermediary Organisation and the Registered User agree:
- That only the Registered User will use its Username and Password;
- To immediately notify us of any unauthorised use of the Registered User’s Username and Password and any other relevant breach of security;
- That the Registered User will exit from the Intermediary Organisation’s Account at the end of each session; and
- That both the Registered User the Intermediary Organisation will be jointly liable under these Terms and Conditions for all liabilities of the Registered User.
- Agree to get the consent of your clients to store their personal data on our servers
- Inform The Gowanbank Hub and Crisis Support Service if you are leaving your organisation so that your account can be disabled, by emailing: dshelp@Thegbhub.org.uk
3.6.2 Registered User and creating accounts
The Registered User will be responsible for creating his or her own account in accordance with the procedure outlined by us. The Registered User shall be responsible for ensuring that information provided at the time of creating the account shall be true, accurate, current and complete and that it meets our published criteria. We shall have the right to amend the Organisation name and Branch name (if applicable) in the event that the information has been entered incorrectly, query the account details with the Registered User if we have sufficient reason to believe that an error may have been made, and deactivate the account in the event that the information does not meet our criteria.
3.6.3 The Gowanbank Hub and Crisis Support Service and failure to comply with The Gowanbank Hub and Crisis Support Service Terms and Conditions
The Gowanbank Hub and Crisis Support Service cannot and will not be liable for any loss or damage arising from the Registered User‘s failure to comply with these Terms and Conditions.

- Any information we request from grant making charities to update us on whether a data subject did or did not receive a grant will be based on the grant making charity providing fair processing information and making data subjects aware that this personal information is being provided to us. by the charity,
- A ‘My The Gowanbank Hub and Crisis Support Service’ account administration area for Registered Users to create and save enquiries, applications and email correspondence
- A Benefit Calculator that enables the Registered User to check their entitlement to welfare benefits
- Signposting to other sources of support.
Additional benefits for intermediaries:
- A ‘My The Gowanbank Hub and Crisis Support Service’ account administration area for Registered Users to create and save enquiries, applications, notes and email correspondence on behalf of Clients
- The Benefits Calculator enables the Registered User to check the Intermediary Organisation’s Clients’ entitlement to welfare benefits.
4.2 Details about Intermediary clients and data protection
Details about Intermediary clients and supplied by registered users will be held in accordance with the Data Protection Act 2018 (UK GDPR) and other UK data protection laws and will not be passed on to third parties.
Rights in posted content
With respect to all content that you post to publicly accessible areas of the Website, you grant The Gowanbank Hub and Crisis Support Service the royalty-free, perpetual, irrevocable, non-exclusive and fully sub-licensable right and licence to use, reproduce, modify, adapt, publish, translate, create derivative works from, distribute, perform and display such content (in whole or part) worldwide and/or to incorporate it in other works in any form, media, or technology now known or later developed.

12.2 Service provision: what you can expect from us
The Gowanbank Hub and Crisis Support Service strives for high standards as a provider of services. In doing so, The Gowanbank Hub and Crisis Support Service recognises the need to ensure that all enquires received and made by our helpline advisers , Support workers and consultants are handled in an acceptable and appropriate manner.
Our hours of service are from 9.00 am until 3:00pm Monday to Friday each week.
All callers waiting longer than 20 seconds receive an information message.
All callers are given a confidentiality statement.
12.2.1 Email enquiries to us
We aim to acknowledge your email within one working day and answer it within two working days. Where we need to refer to a third party, a reply will be sent within three working days.
Where the enquiry is outside the scope of our service, we will signpost you to services relevant for you.
The contents of any emails and any attachments that pass between us are confidential and you should take great care before sharing our emails with anyone else; as to do so will compromise the security of our communication.
Please note that whilst we shall try to address your enquiry by email, this may not be possible if your enquiry is of a more complex nature. In these cases, we will kindly request that you contact us using our freephone number. We assume that by making an enquiry by e-mail, you agree to us replying to the e-mail address that you have given us.
Please also be advised that full protection via email cannot be guaranteed and therefore you should take the following steps to protect your privacy:

When you telephone our helpline, the caller number will be showing to the adviser. This will not be used by them without your permission, for example to call you back.

We do not tolerate abusive behaviour towards our staff.
We take every measure to support our staff and, in cases of abusive behaviour, tone or language, we may terminate the call. In extreme cases, we will report such behaviour to a relevant authority, such as the Police.

20. Security Checking grant applications
As part of our on going commitment to our funders and stakeholders we are introducing will ask all beneficiaries of any all grants directly or facilitated by The Gowanbank Hub to do the following:
For Cash Grants:
1. Sign the online direct payment mandate
2. Provide your bank account details including bank name, account holders name, sort code , account number and photo Identification.
For Non cash grants / gifts:
1. Sign the mandate to accept the gift
2. provide proof of Identification.
